The Poynter Institute Program Coordinator (part-time) in Saint Petersburg, FL [1]

The Poynter Institute is seeking a motivated and organized contractor to assist the program management team as a Program Coordinator from early September 2024 to mid-December 2024, with a possible extension into Q1 of 2025.

The Program Coordinator will play a vital role in the execution of six high-profile teaching programs: the Leadership Academy for Diversity in Media, Editorial Integrity and Leadership Initiative, Leadership Academy for Women in Media, Armenia Professional Partnership in Journalism, Power of Diverse Voices: Writing Workshop for Journalists of Color, and Essential Skills for Rising Newsroom Leaders. Additionally, the Program Coordinator will assist producers in creating two self-directed courses, helping test and proofread e-learning materials.

This role requires strong attention to detail, excellent organizational and communication skills, and the ability to manage multiple tasks simultaneously. The ideal candidate will have expertise in event management, vendor management, production tools, or behind-the-scenes logistics support.

KEY RESPONSIBILITIES:

Guest Experience:

● Prioritize a positive, meaningful, and memorable guest experience in all decision-making.

● Monitor overall comfort and accessibility in the classroom(s) and Poynter building and make necessary adjustments.

● Proactively provide help and warm customer service to guests.

Planning and Coordination:

● Collaborate with teammates on the Program Management team – and with other business units and stakeholders – to execute top-notch teaching programs. ● Replenish snacks and beverages, including any last-minute errands for program needs as necessary.

● Collaborate with producers to prepare and distribute name badges, table tents, portfolios, notebooks, handouts, and other materials needed for a teaching program. ● Set up program check-in tables, classrooms and other communal spaces prior to the opening session at the direction of faculty and producers.

On-Site Support and Logistics:

● Provide on-site support during programs, including daily set-up of snacks, coffee, meals, and other amenities for participants and staff.

● During programs, proactively communicate with vendors and receive or pick up orders. ● Provide on-site support for any social or evening activities associated with programs and events.

● Tidy rooms at the end of each day and during breaks of a program.

● Help the program producer with any troubleshooting and problem-solving when things don’t go as planned.

● Break down and put away program materials at the end of a program, in collaboration with the building services manager and producer.

Production Assistance:

● Help producers with quality assurance, particularly with self-directed courses and interactive learning modules. This may include taking courses, proofreading, and testing quizzes.

QUALIFICATIONS:

● At least one year experience in event planning, program coordination or vendor management is required.

● Strong organizational and time management skills.

● Excellent communication and interpersonal skills.

● Ability to work effectively both independently and as part of a team.

● Flexibility to work evenings and weekends as required.

● Ability to thrive in fast-paced environments commanding high volumes of work with accuracy and reliability.

● Possess a growth mindset

● Ability to transport supplies and materials, often on the same day

The need for this temporary Program Coordinator position is scheduled to last from September 3, 2024 through December 13, 2024. However, there is a possibility of that timeframe being extended.

During the allotted time, the hours for the position will vary. The average number of hours needed to fulfill the role on a weekly basis will average between 25 to 30 hours per week.

The hourly rate for this position is as follows: $18.50 per hour.
